1. Introduction

Quotefy ("we", "our", "us") operates the website getquotefy.com and the Quotefy web application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and password (stored in hashed form). If you provide company details, we also collect your business name, phone number, address, logo, and tax identification number.

2.2 Customer Data

You may store information about your clients within Quotefy, including their names, email addresses, phone numbers, and physical addresses. This data is entered by you and is used solely to facilitate your estimates and invoices.

2.3 Financial Data

We store estimate and invoice amounts, payment records, and transaction history. We do not store credit card numbers or full payment card details. All payment processing is handled by Stripe, Inc., which operates under its own privacy policy at stripe.com/privacy.

2.4 Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, device information, IP address, and timestamps. This data helps us improve the Service.

2.5 Files

If you upload files (such as a company logo), they are stored securely on Amazon Web Services (AWS) S3 cloud storage.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process your transactions and manage your subscription
  • Send estimates and invoices on your behalf to your clients
  • Generate PDF documents with your company branding
  • Send you account-related emails (confirmations, billing, security alerts)
  • Respond to your support requests
  • Improve and optimize the Service
  • Detect and prevent fraud or abuse

We do not use your data for targeted advertising. We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. Third-Party Services

We use the following third-party services to operate Quotefy:

  • Stripe — payment processing for subscriptions and invoice payments. Stripe collects and processes payment card data directly. We never see or store your full card number.
  • Amazon Web Services (AWS) — cloud infrastructure and file storage (S3). Data is stored in encrypted form.
  • Cloudflare, Inc. — transactional email delivery for account notifications and the estimates, invoices, and receipts you send to your clients.

Each of these services has its own privacy policy governing how they handle your data.

5. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal information within 30 days, except where we are required by law to retain certain records (e.g., financial transaction records for tax compliance).

Estimates, invoices, and payment records may be retained for up to 7 years after account deletion to comply with financial record-keeping requirements.

6. Data Security

We implement appropriate technical and organizational measures to protect your data, including:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Hashed password storage using bcrypt
  • Token-based authentication (API tokens)
  • Regular security updates and dependency patching
  • Access controls limiting employee access to user data

While we strive to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

7. Your Rights

You have the right to:

  • Access — request a copy of the personal data we hold about you by emailing privacy@getquotefy.com
  • Correction — update or correct inaccurate information via your account settings
  • Deletion — request deletion of your account and associated data by emailing privacy@getquotefy.com
  • Export — request a copy of your estimates, invoices, and customer records (provided as CSV within 30 days of request) by emailing privacy@getquotefy.com
  • Objection — object to certain processing of your data

8. Cookies & Analytics

Essential. We use essential cookies and browser storage to keep you signed in, protect against CSRF, and maintain your session. These are required for the Service to function and cannot be disabled.

Analytics (Google Analytics 4). With your consent, we use Google Analytics 4 to understand how the Service is used (pages viewed, features clicked, session duration) so we can improve the product. We enable IP anonymization and Google’s ads data redaction signal. Analytics cookies are loaded only after you grant consent in the cookie banner; until then, Google receives only anonymous, aggregate “conversion modeling” pings containing no personal data. You can change or revoke this at any time via the “Cookie preferences” link in the footer. Data is processed by Google LLC under Google’s Privacy Policy; see also how Google Analytics uses data.

Marketing. We do not currently run advertising or retargeting pixels. The “Marketing” toggle in cookie preferences is present for future transparency and is off by default.

Opting out. You can reject non-essential cookies in our banner, manage choices via the footer link, or install Google’s Analytics Opt-out Browser Add-on.

9. Children's Privacy

Quotefy is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected data from a child under 18, we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
